How to create a QR code for a PDF

A QR code does not upload or store your PDF on taap.at. It contains a web address that opens the hosted file. Hosting and the QR link are separate: hosting controls who can see the document, while the link setup determines whether you can change the destination and measure openings.

Turn a PDF into a QR code step by step

   Host the PDF

   Upload it to your website, Google Drive or another host that gives you an HTTPS URL. A local path such as file:///Documents/file.pdf only works on your own device.

   Set the right access

   For public material, let anyone with the link view the file. For private material, keep it restricted and tell readers that scanning requires a sign-in.

   Copy and test the URL

   Open the link in a private window or on a phone that is not signed in to your account. Confirm that it shows the correct PDF instead of an access request.

   Create the QR code

   Paste the URL into the generator below. If the document will change, first create an editable short link and encode that link in the QR.

   Download and test the final artwork

   Download the SVG, place it in the design and scan a sample at its real size and distance. Check the final destination after the redirect too.

Direct or editable QR: choose for the document

Replacing a file on the same host may preserve its URL, but verify that rather than assuming it. An editable redirect adds control when a host creates a new address. On taap.at, destination editing requires a plan that includes it; an anonymous QR is not suitable for permanent print.

Google Drive: prevent the access-request screen

   Open Share for the file

   In Google Drive, select the PDF, open Share and review General access.

   Choose the intended permission

   For a public document, choose Anyone with the link and Viewer. A work or school administrator may restrict that option.

   Copy the link

   Use Copy link. Do not copy a local file path or an address from an admin-only screen.

   Test while signed out

   Open it in a private window. If it asks for access, adjust the permission or keep the restriction and explain it next to the QR.

Prepare the PDF for a phone

• Use a clear file name and do not publish drafts or internal comments.
• Make sure text can be enlarged and read on a small screen; a print-only layout can be awkward on mobile.
• Preserve headings, reading order, alternative text and active links when exporting an accessible PDF.
• Remove unnecessarily heavy images and test loading over mobile data, not only Wi-Fi.
• Put a date or version number inside the document so readers can identify the edition.
• Print a readable short URL next to the QR as an alternative to scanning.

Pre-print checklist

• The link opens the correct PDF outside your account.
• The document contains no information that should remain private.
• The QR has a clear four-module quiet zone on every side.
• There is strong contrast and no logo, text or border covers the modules.
• The call to action names the result, such as “Scan to view the PDF catalogue”.
• You tested iPhone and Android, on screen and on a printed sample.
• If the PDF will change, you proved that you can edit the destination before a large print run.

Measure without calling an opening a read

A measured link can record the redirect opening before the PDF loads. It cannot prove that the file finished loading, that someone read a page or that they completed an action. Use a separate QR for each placement if you need to compare a flyer, counter and branch.

   Record the baseline

   Write down the date, PDF version, placement and destination for each QR.

   Use different links for posters, packs and flyers. Reusing one link removes the comparison.

   Review after 14 and 28 days

   Compare openings by placement and confirm that every destination still works. Keep downloads, forms and sales as separate measurements.

   Improve the placement or call to action without changing everything at once.
